Groundcare Service Advisor

A busy workshop needs someone who can keep customers informed, engineers organised and the paperwork moving. At Bishopton, you’ll help keep our Groundcare service department running smoothly from the moment a machine is booked in through to invoicing and collection.

Who we are

Hamilton Ross Group is one of the UK’s largest machinery dealerships. We have been trading since 1933, we are in our third generation of family ownership, and around 200 people work with us across nine depots in Scotland and the north of England. We represent major brands like Massey Ferguson, Valtra, Fendt, JCB, Wacker Neuson, Kubota, Honda, Stihl and Husqvarna.

The role

You’ll be a key point of contact for service customers, in person and on the phone, making sure machinery is booked in, jobs are recorded accurately and customers know what is happening. You’ll work closely with the Groundcare Service Manager and workshop team to keep priorities clear and jobs moving to deadline.

The administration matters just as much as the customer contact. You’ll manage job cards from opening to invoice, raise purchase orders, process supplier paperwork and maintain service records, helping the department stay accurate, organised and ready for a busy day.

Requirements

What you’ll be doing

  • Book machinery in for repair, service and inspection and keep customers updated
  • Allocate jobs to workshop engineers in line with priorities and deadlines
  • Create, process and update job cards from opening through to invoicing
  • Raise purchase orders and process supplier invoices where required
  • Produce customer invoices and take payments accurately
  • Maintain service records and departmental documentation to a high standard
  • Support the service manager with administration, reporting and workshop planning
  • Help deliver the reliable, effective service our customers expect

What you’ll bring

Essential

  • Experience in administration, service advising or another customer-facing role
  • Strong organisation and the ability to manage several priorities in a busy department
  • Clear, confident communication with customers, colleagues and suppliers
  • Excellent customer service skills, both face to face and over the phone
  • Confident, up-to-date IT skills including email and Microsoft Office, with the initiative to work independently and as part of a team


Desirable

  • Experience in an agricultural, construction, groundcare, automotive or similar service environment
  • Familiarity with dealer management or workshop management systems
  • An understanding of basic mechanical and service terminology
